Adding Tags to Meetings

Organize, track, and automate your meetings with custom tags

Meeting Tags help you organize and track your appointments more effectively.
With this feature, you can create custom tags and apply them to meetings in your dashboard — either before or after they take place. Tags like “No-show,” “Went well,” “VIP,” or “Needs follow-up” make it easy to label and sort your meetings at a glance.

You can also filter by and export tags, and use them as triggers in Zapier, allowing you to automate follow-up actions or sync tagged meetings with other tools in your workflow.

Whether you're tracking client status, internal notes, or meeting outcomes, tags are a simple yet powerful way to stay organized and uncover valuable insights over time.

Managing Your Meeting Tags

You can view and manage all of your tags in the Tags tab under the Settings menu. From here, you can:

  • Create new tags with custom names and optional descriptions

  • Edit existing tags to update their name, description, or color

  • Assign a color to each tag to make them easier to spot in the dashboard

  • Delete tags you no longer need

There’s no limit to how many tags you can create — so feel free to tailor them to your workflows.

Tagging Your Meetings

Once your tags are set up, you can apply them to individual meetings:

  • In the Meetings dashboard, select one or more meetings and choose a tag

  • In the meeting details view, open a specific meeting and add tags directly

You can assign multiple tags to the same meeting. This flexibility makes it easy to flag meeting outcomes, segment your appointments, or track follow-up needs.

Filtering and Exporting by Tag

Tags can also be used to filter your meeting data. In the Meetings dashboard, simply apply one or more tags to filter the list.

If you export your meetings to CSV, all associated tags are included — making it easy to analyze your data outside of Appointlet or create reports based on tag usage.

Automate Workflows with Zapier

Meeting tags also work as Zapier triggers, giving you powerful automation options. You can:

  • Trigger a Zap when a meeting is tagged or untagged

  • Automatically send follow-up emails, create tasks, update CRM records, or notify your team — based on the tags you apply
