Why Use Meeting Tags?

Meeting Tags are a simple but powerful way to organize, track, and automate your meetings in Appointlet. By applying custom tags to your meetings, you can quickly see which appointments need follow-up, which attendees are high priority, and which meetings didn’t go as planned. Examples of helpful tags include:

  • No-show – flag attendees who didn’t show up

  • VIP – identify your top clients

  • Went well – track successful sessions

  • Needs follow-up – mark conversations that require additional action

This makes it easy to label and segment meetings at a glance — helping you stay organized as your scheduling volume grows.

Filter, Report, and Automate

Tags don’t just help you stay tidy; they also open up advanced reporting and workflow automation:

  • Filter your meetings: In the Meetings dashboard, use tags to instantly sort by status or type.

  • Export to CSV: Tags are included in exports, so you can analyze outcomes or trends outside of Appointlet.

  • Trigger workflows with Zapier: Tags can fire automations in your connected tools. For example:

    • Send tailored follow-up emails

    • Update CRM records with meeting outcomes

    • Create tasks for your team automatically

Whether you’re tracking client health, internal notes, or meeting outcomes, tags help turn scheduling into actionable insights.

Managing Your Meeting Tags

You can view and manage all of your tags in the Tags tab under Settings. From here you can:

  • Create new tags with a custom name, description, and color

  • Edit existing tags to update their details

  • Assign a color to make them easy to spot

  • Delete tags you no longer need

There’s no limit to how many tags you can create, so tailor them to fit your workflow.

Adding Tags to Meetings

Once your tags are set up, you can apply them to any meeting:

  • In the Meetings dashboard, select one or more meetings and apply a tag

  • In the meeting details view, open a specific meeting and add tags directly

You can add multiple tags to the same meeting. For example, a session could be both tagged as VIP and Needs follow-up.

Automating Workflows with Zapier

Meeting tags also work with Zapier, giving you a no-code way to connect Appointlet with thousands of other apps. For example, you can:

  • Trigger a Zap when a meeting is tagged or untagged

  • Automate follow-ups, CRM updates, and task creation

  • Notify your team about important outcomes
