Using meeting instructions to send attendees to your form, terms and conditions, or other type of external page

The Appointlet scheduling page is a user-friendly way to get attendees through the door and is often the first step in the sales or acquisition funnel. But what if you need to share specific information or files with a client before meeting with them? Appointlet's Meeting Instructions tool makes this possible.

The instructions field itself offers a chance to share a custom set of instructions, but also supports links to external URLs. This is especially helpful if you need to share any of the following with clients before the meeting:

  • Terms and conditions

  • User agreement

  • Custom form or questionnaire

  • Map of the facility the attendee is visiting

  • Google Drive, One Drive, or Dropbox folder containing any of the above

Linking from Meeting Instructions

Click on a meeting type and navigate to the Notifications tab. Type a custom message in the Meeting Instructions field. This message will be sent out with your confirmation and reminder emails.

To insert a URL as a hyperlink, highlight any text in the instructions field and click the hyperlink icon. In the field that appears above the text, paste in your URL. Click "save changes" at the top right of the meeting type editor to confirm and apply your changes.

What Attendees See

Meeting instructions are included in the confirmation and reminder emails Appointlet sends to attendees after they've confirmed a meeting. Instructions are listed in a yellow field in the body of the email as shown below. The hyperlink will be highlighted in blue for easy visibility.
