Set up required notice for bookings

Define the earliest and latest that you can be booked for a meeting type

Updated over 10 months ago

Controlling when attendees can schedule with you is crucial to prevent last-minute bookings or appointments set too far in advance. Appointlet’s Required Notice setting offers the flexibility to dictate these rules, ensuring that you have adequate notice for any meeting.

Prerequisites

  • An active Appointlet account with at least one meeting type configured.

How It Works & Benefits

  1. Prevent Surprises: The minimum notice ensures no unexpected, last-minute bookings.

  2. Maintain a Manageable Schedule: The maximum notice setting helps in keeping your long-term calendar uncluttered.

  3. Streamlined Process: By setting boundaries, both hosts and attendees have clearer expectations and better preparation time for meetings.

Setup & Configuration

1. Navigate to the Pages tab

  • Find the meeting type you wish to adjust and click on it.

2. Access Scheduling Rules

  • In the navigation menu, click on the Scheduling Rules option.

  • You’ll see the the Required Notice option near the top of this menu.

3. Set Minimum Notice

  • This defines the shortest notice required before someone can book a meeting with you. For instance, if you don’t want any bookings with less than 24 hours’ notice, set this accordingly.

4. Determine Maximum Notice

  • This indicates the furthest someone can schedule a meeting in advance. So if you don’t want appointments set more than one month ahead, configure this to allow bookings as far as 30 days in advance.

5. Save Your Changes

  • Always remember to save any adjustments made to ensure they are applied.

Testing Your Setup

  • It's a good practice to test these configurations by trying to schedule a mock appointment on your scheduling page. Ensure that the settings prevent bookings outside of the notice periods you’ve set.

Troubleshooting

If you experience any issues with the Required Notice settings:

  1. Check Your Settings: Revisit the Scheduling Rules section and verify that the minimum and maximum notice settings have been saved correctly.

  2. Cache Issue: Sometimes, stale data in the browser cache can cause discrepancies. Try clearing your browser cache or using a different browser.

  3. Test Different Scenarios: Schedule test meetings at different notice periods to isolate the issue.

  4. Contact Support: If all else fails, reach out to Appointlet's support team with a detailed description of the issue. They're usually quick to help and might have insights into specific problems or bugs.
