Specify your meeting location

Let attendees know where you'll meet

Updated over 10 months ago

The Location of a meeting type determines how or where a meeting will take place. This may be a physical location, a phone call, or a web conference. The Location details and applicable links will be shown in the meeting details during the scheduling process, in the email notifications sent to both the host and attendee after a meeting is confirmed, and calendar event details.

Choosing a Location Type

Keep in mind each meeting type has a unique Location setting. This allows you to offer any combination of services at the same or different locations as your needs dictate.

Hint: If you need to offer the same service at different locations, we recommend naming each meeting type accordingly to reflect the location so the options are clear on the live scheduling page.

To assign a meeting type to a specific location, open the Pages tab of your dashboard and click on the meeting type you want to edit. Then, navigate to the Location tab.

By default, a new meeting type will be assigned to the "No location specified" option. This can be helpful if you want to share a custom web conferencing link instead of generating a unique link for each meeting automatically. However, the standard options below apply to most use cases.

Meeting at a Physical Location

To meet in a physical location, simply add your address to the text field. As you type, Appointlet will locate the precise coordinates and autofill the full address for you via Google Maps.

Alternatively, you can select the option to have your attendee provide the meeting location instead. Selecting this option will prompt the attendee to provide their desired meeting address on the intake form before confirming.

Phone Calls

The phone call section presents the same two options as the physical location: either you provide a phone number or collect it from the attendee.

Web Conferencing

Appointlet supports web conferencing via Zoom, Google Meet, Microsoft Teams, Cisco WebEx, GoToMeeting and Join.Me. There are two parts to the web conferencing setup process:

  1. Select the web conferencing service you'd like to use in the meeting type Location settings.

  2. Establish an integration between your web conferencing service and Appointlet in your Web Conferencing settings.

Please review this guide to learn how to complete and test the web conferencing integration process.
