How to create and assign multiple schedules for teams and services

Appointlet's availability engine makes accessing your team's schedules easy and intuitive by housing them in a single view. This is especially helpful for administrators or team managers who may need to build schedules for their team, apply schedules across different services or locations, and make exceptions to schedules to account for things like seasonal hours or vacation time.

Building Meeting Type-Specific Schedules

Appointlet's Availability & Calendars menu gives you visibility over all schedules assigned to each team member, as well as those shared across your team. Check out this guide to learn how to assign schedules to specific people and share others between your team.

Each member's schedule(s) will follow them wherever they're assigned as a bookable staff member. If they need to configure their own meeting type settings, it's important to name their schedules accordingly ahead of time so they know which ones to use and where. This is also a helpful reminder for yourself if you're setting up meeting types on behalf of your team.

Click the edit icon next to the current schedule. In the window that appears, adjust the nickname to reflect the title of the meeting type it should be assigned to. In this example, we've called this schedule "In-Person Schedule" so we can use it exclusively for our In-Person meeting type. Be sure to save your chances when you're done.

Continue this process for any other schedules that need to be assigned to specific meeting types. If you haven't created those schedules yet, click the plus sign next to the current schedule to create a new one. We've set up a second schedule titled "Zoom Meeting" to assign specifically to our meeting type that will take place via Zoom.

Now that each schedule has been created and named, it's time to assign them to the appropriate meeting types. Keep in mind we've set up these schedules for the same team member in this example, so we'll be assigning that team member to our meeting types.

Assigning Staff Members and Schedules

With multiple meeting types in place, it's crucial to ensure that the appropriate member and schedule are selected. In this example, we're adding the same member to two meeting types but need to assign a different schedule to each.


Click on the first meeting type you'd like to edit and navigate to the Staff Members tab in the editor. Choose the staff member assigned to the schedule that matches this meeting type to assign them as the meeting host. Next, click the dropdown arrow in the "Schedule" box to choose the schedule that matches the meeting type. Since we're editing our "In-Person Meeting" we've selected the "In-Person Schedule" to match.

Save your changes and follow the same steps for any other meeting types that need to use unique schedules. In the final image below, you'll see that we've assigned the "Zoom Meeting" to the "Zoom Schedule" we created earlier.
